# Attendance

Recording attendance is how you capture who actually showed up—not just who RSVP'd. This data becomes powerful for future organizing: you can filter and target people who attended specific events, track participation trends, and identify your most engaged members.

To open attendance, click 'Take attendance' at the top right of the event in the dashboard. It needs the 'Manage Events' permission.

***

## Selecting a Session

For events with multiple sessions, use the dropdown in the top right to select which session you're recording attendance for. You can also choose **All Event Sessions** to see a combined view of everyone who attended any session.

> 💡 When using the attendance page at a live event, make sure you've selected the correct session before adding attendees.

## Live Check-In

The attendance page works great as a check-in station. A Team Member can staff a table with a laptop or tablet, search for people as they arrive, and mark them attended in real-time.

### Searching for Attendees

Start typing in the search field to find people. Search fields include:

* **Name** (first, last, or full name)
* **Phone number** (any common US format)

People who previously RSVP'd to the event will show their RSVP status alongside their name, making it easy to check off expected attendees.

### Adding Someone New

What if someone shows up who isn't in your database? No problem—you can add them on the spot.

When you search a phone number that doesn't match anyone in your system, you see 'Add' with the number, for example 'Add (555) 555-5555'. Click it, fill in their name, and they'll be created as a new Person *and* marked as attended, all in one step.

This is especially useful for events where walk-ins are common. You're capturing new contacts while also tracking attendance.

## Host Tools

Need to let someone track attendance without giving them dashboard access? [Host Tools](/docs/host-tools) provides a shareable link for each session that lets hosts view RSVPs, mark attendance, and contact attendees in any browser, with no login.

This is ideal for volunteer hosts, field leads, or coalition partners running events on your behalf. See [Host Tools](/docs/host-tools) for details.

***

## Self Check-in

You can also let attendees check themselves in without a host. When [Host Tools](/docs/host-tools) is enabled, each session gets a **self check-in link and QR code**. Display the QR code at your event and attendees can check in from their own phone. New contacts are automatically added to your database and marked as attended. See [Host Tools](/docs/host-tools#self-check-in) for setup details.

## The Attendance List

Once you've added attendees, you'll see them in a table with helpful context:

| Column | What it shows |
| ----------------- | -------------------------------------------------------------------------------- |
| **Attendee Name** | Links to their profile |
| **RSVP Status** | Their RSVP status, plus a ✓ if confirmed |
| **RSVP Method** | Where the RSVP came from, for example 'Web Form', 'Automation', or 'Bulk Update' |
| **Touches** | Timeline of outreach leading up to the event |
| **Dates** | When they RSVP'd and when attendance was recorded |

To remove someone from the attendance list, select their session, then click **Delete** on their row. Delete removes only the attendance record. The RSVP stays.

## Exporting Attendance

You can download a CSV of everyone marked as attended for an event. On the event's 'RSVPs' tab, click the 'Export Attendance' download icon in the toolbar, then confirm. The icon shows after the event's last session ends, to Team Members with 'Export People'.

The export has one row for each attendance record, so a person who attended three sessions has three rows. Each row contains:

| Column | What it shows |
| ------------------------------- | ----------------------------------------------------------------- |
| **Attendance ID** | Unique identifier for the attendance record |
| **User ID** | The person's ID in your database |
| **First Name / Last Name** | The attendee's name |
| **Email / Phone Number** | Contact details |
| **Session ID / Session Title** | Which session they attended |
| **Session Start / Session End** | The session's scheduled times |
| **Session Location** | Where the session took place |
| **RSVP Status** | Their RSVP status at time of export (blank if they never RSVP'd) |
| **Zoom Duration Seconds** | For Zoom-connected sessions, total time they spent in the meeting |

The export follows the session menu on the 'RSVPs' tab. 'All Sessions' exports attendance for every session. One session exports that session only.

> 💡 The attendance export includes walk-ins who were added on the spot—anyone marked as attended appears, even if they never RSVP'd.

## Zoom Attendance

There are two ways to track attendance for Zoom meetings:

### Automatic Sync (Recommended)

For events with [Zoom connected](/docs/zoom), attendance is **synced automatically** about 30 to 90 minutes after the meeting ends. No manual work required.

**How it works:**

1. People RSVP and receive personalized Zoom join links
2. They join the meeting using their link
3. After the meeting ends, Solidarity Tech fetches participant data from Zoom
4. Attendees are matched by their registration ID (most reliable) or email
5. Attendance records are created automatically

> 💡 **Best matching**: When people use their personalized join link, they're matched by their Zoom registration ID. People who join without their personal link are matched by the email they use in Zoom, within your organization.

### Manual CSV Upload

You can also upload a Zoom CSV to mark attendance. The upload shows only when the event has a virtual session and the selected session does not use the Zoom integration. This is useful for:

* Events not using the Zoom integration
* Historical events

**Exporting from Zoom (Meetings):**

1. Sign in to the [Zoom web portal](https://zoom.us/)
2. Click your profile picture. Click **Admin Center**. In the side menu, click **Reports**. Click **Usage reports**. If you are a host and not an admin, click **My account** instead of **Admin Center**. Click **Reports**. Click **Meetings & Webinars**.
3. Click **Meeting and webinar history**
4. In the **From** and **To** fields, select a time range of one month or less. Find your meeting.
5. Under the **Participants** column, click the participant number
6. In the **Participants** window, click **Export**. Zoom downloads the list as a CSV file.

**Exporting from Zoom (Webinars):**
Export the attendee report from your webinar's reporting page.

**Uploading the CSV:**
On the Event Attendance page, select the session. The info box then has the link 'upload a Zoom attendance CSV'. Click it, select your file, and the system will process it.

**How CSV Matching Works:**
The system matches Zoom participants to People in the event's scope, in this order:

1. **Phone number** (with smart formatting)
2. **Email** (case-insensitive match)
3. **Full name** (only if there's exactly one person with that name)

After processing, you'll see two tabs:

* **Found**: People we matched successfully. Each has a checkbox so you can deselect anyone before adding. Click **Add Attendance** to confirm.
* **Not Found**: Participants we couldn't match. Shows their name, email, and time in session so you can manually look them up or add them later.

> 💡 The "Not Found" list often includes people who registered with personal emails or nicknames that don't match their record in your database. You can use this list to manually add them or update their profiles.

## Using Attendance Data

Once you've recorded attendance, that data becomes available throughout the platform:

* **Filters**: Create segments of people who attended (or didn't attend) specific events
* **Automations**: Trigger follow-up sequences for attendees. Automations are on the Standard, Professional, and Enterprise plans.
* **Reporting**: Track attendance rates over time
* **Outreach**: Target attendees for related future events

Recording attendance consistently is one of the simplest ways to build a richer picture of member engagement.
