# Schedule A Call

Schedule a Call Pages allow supporters to find a time to talk with a Team Member, either via a phone call or Zoom call. The available times offered to supporters are the entire pool of call availability times set by your Team Members who are qualified to accept calls on a given page. In the dashboard, team members set call availability under their name menu > **My Account** > **Scheduled Call Availability**. In the Solidarity app, they tap the calendar icon at the top right of the **Scheduled Tasks** tab. All Scheduled calls will immediately appear in the Scheduled Tasks tab for the Team Member assigned the call.

Supporters can book calls only in languages that your Team Members speak. The page matches the call language to the preferred language or a secondary language in each Team Member's Person profile. A series of reminders via text, email, and push notifications are configured by default to remind both the Person who schedules the call and the Team Member responsible for making the call.

# Meeting types

## Phone call

The phone call is the default and recommended way of having initial scheduled organizing call with a supporter. All scheduled phone calls should be made through the app or the dashboard. Solidarity Tech tracks whether each scheduled call is made at its set time, to help you run a scheduled call program.

By default, calls and texts to a person use the phone number of the person's chapter. A team member who sends a text can pick another chapter number they have access to.

## Zoom

To get scheduled Zoom calls, a team member **must connect a Zoom account**. In the dashboard, open the name menu > **My Account** > **Call Settings** > **Connect your Zoom Account**. In the Solidarity app, use **Your Zoom account** near the bottom of the Availability screen. When this step is completed and a Team Member is qualified to accept call assignments, each call scheduled with a Team Member gets a new Zoom call URL. The URL is sent to the Person who schedules the call.

# Scheduling details

## Assignment methods

The assignment method of a schedule a call page determines what Team Members are eligible to receive scheduled calls. The **Assignment Method** option **Team members in branch** shows only when your chapters have branches.

### Team members in branch

For a visitor who is not logged in, the page shows times of team members in the branch that matches the visitor's zip code. If no branch matches, it uses the form's default chapter. Logged in visitors see team members in their chapter. The booked call goes to an available team member in the person's chapter.

### Team members in chapter

All Team Members who are active callers within the Chapter of the logged in Person will be eligible to receive the scheduled call. Otherwise, Team Members in the form's default chapter or the visitor's nearest chapter will be eligible.

### Team members in selected organization

The **Chapter or Organization** field takes a chapter or an organization. Team members in the chosen chapter or organization can get the call.

### Select team members

Only the team members you select can get the call. Each one needs the **Make Scheduled Calls** permission, and on a Zoom page also a connected Zoom account.

## Other Settings

**Call duration**: Select the call duration for the call (15 minutes, 30 minutes, 45 minutes, or 1 hour). Team Members who receive a schedule call will be ineligible for additional scheduled calls for the entire call duration. Calendar invites sent via email will also incorporate this call duration.

**Calls can be scheduled N weeks into the future**: Enter 1 to 8 weeks. A new page starts at 3 weeks. It's recommended that you keep this number under 3 weeks in order to maximize your pickup rates. People who schedule a call too far in advance are less likely to pick up at call time, even if they receive the reminders.

**Page header**: The page header gives supporters a brief overview of why they may want to schedule a call with one of your Team Members. The page header field can be customized with HTML content.

# Notifications

By default the Person who scheduled the call and the Team Member accepting the call will both be sent an email immediately. The confirmation email has a calendar invite named `<chapter> scheduled phone call`, also for Zoom calls. No setting changes this name. The team member also gets a push notification from the Solidarity app 1 minute before the call.

## Text Reminders

By default, both the call recipient and the Team Member will both be sent text message reminders 30 minutes and 60 minutes respectively, before the call is set to begin. You can customize these times or disable the text reminders entirely.

## Email Reminders

You can add a BCC target for the email that's sent to your Team Members when they have a call scheduled with them.

All Scheduled Call system emails can be customized in the [System Emails](/docs/system-emails) section of the Settings.

## Missed Call Notifications

When a team member misses a call, the page's **Call Captain** gets a text, or the caller's [trainer](/docs/callers) when no **Call Captain** is set. When **Call Captain Override** is on and the caller has a trainer, the trainer gets it instead.

# Call Script

Phone call pages have a **Call Script** section. Zoom pages do not. Team members see the script during scheduled calls in the Solidarity app. When the page has a script, a **Script** button shows at the top right of the call screen.
